Rental Policies

RENTAL PERIOD: 
Your venue rental period includes your time for set up and clean-up.  If caterers or other vendors arrive prior to or leave after the designated contract timeframe, hourly fees will be charged (or taken out of the damage deposit). The entire venue property (and any subcontracted property) closes promptly at 11pm to comply with our good neighbor policy and local noise ordinances. 
* If your kitchen contractor is still on property after 11:00 pm you will be charged $250 beginning at 11:05 pm for the first hour and an additional $250 at 12:05 and 5 minutes after each hour thereafter.  
* If your kitchen contractor has not fulfilled any of the care and keeping of the kitchen you will be charged $250.  

 

PROPERTY WAIVER: 
The Sherrod’s property waiver must be signed and sent to the venue office via email or hard copy 30 days prior to your load in.  No load in will be permitted without this waiver on file. 

 

VENDORS: 
All caterers, rentals, florists, decorators, registrars, musicians, photogs, DJ, videographers, talent, bands, with contact names and contact information must be provided to The Sherrod office via email or hard copy 30 days prior to your load in. 

 

KITCHEN: 
The prep kitchen is for your convenience.  It is a prep kitchen only for staging and completion of dishes before serving.  NO food production may be done in the kitchen at The Sherrod unless the Caterer makes arrangements for an on-site kitchen build.  Your caterer’s business license, proof of insurance, and proof of certification under DOH must be on file 30 days prior to your load in. Everything you, your vendors; and your guests bring in must be taken out before the last person leaves the property.  If it is left, you will be charged a cleanup fee of up to $250 at the facility discretion. A late exit fee will be charged at $250 per hour for late exit of property. Venue has right to force closure at 11pm and charge an expedited clean up fee ($400.00) for labor hired for overnight cleaning if necessary to prep facility for next event if renter or caterer exceeds 11pm. 

 

KITCHEN CLEAN UP: 
The kitchen will be offered to you in clean operational conditions. It is required that the kitchen must be left in the same conditions you found it  
o    All personal belongings must be removed. 
o    All dishes and service ware must be scraped, rinsed (in tubs or buckets – NOT THE SINK) and repacked in rental totes and be set in designated area prior to 11pm. (A room set up plan will be provided by The Sherrod for your rental clean up.) 
o    All refrigerators (inside and out) must be emptied, cleaned and sanitized.  
o    All cupboards must be cleared, wiped, cleaned and sanitized. 
o    All counters must be cleared, wiped, cleaned and sanitized. 
o    All tables must be cleared, wiped, cleaned and sanitized. 
o    All sinks must be emptied, cleaned and sanitized.  
o    All walls adjacent to sinks and countertops must be cleaned and sanitized. 
o    All floors must be swept, mopped and free of debris. 
o    All rental equipment must be removed from the property.  
o    Collect and bag all garbage and put in the proper dumpster and replace them with new garbage bags. Please assist us in fulfilling our ‘leave no footprint’ policy. There should be no garbage in any garbage cans inside the facility upon your departure. 

 

SERVICE WARE OWNED BY THE SHERROD: 
The serviceware, utensils, napkins, glassware that belong to The Sherrod, are not available for private events.  If they are used, you will be assessed a fee of up to $250.00 at the end of your evening at the discretion of The Sherrod Event Manager.   

 

REFUSE 
Garbage cans are for your use, however all waste must be placed in our dumpsters as indicated on your contract as you leave or a dumping fee of up to $100 will be assessed at the facility discretion. 

 

SMOKING  
Smoking is not allowed on the property of The Sherrod.  Marijuana is strictly forbidden. Holly Farm is a drug-free property.  No use of Marijuana, or other smoked, eaten, injested, or injected drugs is allowed at The Sherrod and is cause for event cancellation, eviction and sacrifice of your entire rental and security deposit.  

 

ALCOHOL PRACTICES:  
All alcohol service must be closed by 9:30pm or 90 minutes prior to event ending time, whichever comes first.   All alcohol must be served by The Sherrod preferred bartending service providers. GUESTS ARE NOT ALLOWED TO SERVE ALCOHOL at The Sherrod. Alcohol that people are self-serving (including in rooms or the lawn) will be confiscated and returned at the end of the event upon check out. Beer, Wine, Champaign, and Spirits are all permitted in The Sherrod.  You must have an alcohol permit for your event filed with The Sherrod 30 days prior to your event. No-one under 21 may serve or be served at The Sherrod. We enforce this rule because we care. 
SAFETY FIRST:  Don’t let guests drink and drive.  Cars may be left overnight and must be picked up by 10am or it could be towed.  
DECOR: 

The Event Center décor will be positioned by The Sherrod staff members based on the final plan submitted 30 days prior to your event. Should Client choose to make minor adjustments to the Event Center décor after placement, Client MUST receive consent from The Sherrod Event Manager. No Moving of furniture.

No rice, confetti, glitter, water marbles, fireworks, or single wrapped candy, nails or wall attachments, adhesives, and no open flames.   
USE OF LADDERS:   
No ladders with more than 3 steps are permitted to be used at The Sherrod for the purpose of decorating and design at facility by a guest or client.  If there are approved décor that requires a higher staging location a request must be made in writing 30 days prior to your event.


CHILDREN: 
Children are welcome at The Sherrod but must be supervised at all times. Absolutely no “playing” on The Sherrod property. Damage caused by children will be assessed at the facility discretion. 


PETS: 
No Pets allowed on the property.  


LOST AND FOUND: 
We do not hold items as a lost and found.  All items left onsite will be donated.


FIRST AID: 
We carry basic first aid supplies in a stocked kit in the kitchen.  Your event host or caterer will have access to those supplies. 

 

RENTING A HISTORIC PROPERTY
Your event is hosted in a historic building. Like all historic buildings, we have uneven surfaces including floors and stairs, uneven cement and rough edges from one surface to another.  If there is something that you are concerned with, please bring it to our attention and we will try to accommodate your needs.  Due to the nature of a historic building, we may not be able to accommodate all requests.
